Privacy Notice

1. Who we are

2. What we collect

• Company data — legal name, trade licence, licensing authority, activity, addresses;
• Tax data — TRN/TIN, VAT status, Peppol ID, e-invoicing readiness;
• Contact data — names, business email addresses, phone numbers of your staff;
• Identity data — Emirates ID / passport details of authorised signatories and beneficial owners (≥25% ownership per Cabinet Decision No. 58 of 2020);
• Financial data — bank name, IBAN, account holder name;
• Documents — licences, certificates, MOA, ID documents, bank letters.

3. Why we process it (purposes & legal bases)

• Onboarding and verifying trading counterparties (contractual necessity);
• Legal obligations — KYC/AML, beneficial ownership, VAT record-keeping and UAE e-invoicing compliance (legal obligation);
• Communicating about your submission and future trading relationship (legitimate interest).

4. Who receives it

Access is restricted to authorised Simal finance/compliance staff. We share data only with: service providers under data-processing agreements (hosting, email), our e-invoicing service provider (counterparty master data for invoice routing), and authorities where legally required.

5. Retention

Approved and rejected records are retained for 6 years from the end of the business relationship (covering the 5-year VAT and AML record-keeping periods), then securely disposed of. Abandoned drafts (never submitted) are purged after 12 months.

6. Your rights

Under the UAE PDPL you may request access to, correction of, or deletion of your personal data, and withdraw consent for optional processing. Email accounts@simalme.com with your reference number. We respond within a reasonable period; deletion may be limited by our legal retention obligations.

7. Security

Data is encrypted in transit (TLS) and at rest. Identity documents are access-restricted, downloads are watermarked and audit-logged. See the portal's security summary for the full control set.
